TOTE Maritime Alaska

TOTE Maritime Alaska, the leader in safe and reliable service to Alaska, is seeking an experienced and highly motivated Billing (Rate) Specialist at our Federal Way location to join our team.

You will be responsible for ensuring the operations excellence in providing customer service by documenting and communicating cargo and rate information accurately and efficiently.  This position requires you to have one to two year’s customer service or billing experience, preferably in transportation, an associates’ degree is preferred. Candidates must possess strong computer and problem solving abilities, a deep customer affinity, continuous improvement acumen and excellent communication skills.  This position may have occasional evening or Saturday shifts..

Job Purpose

This position is responsible for providing excellent customer service by documenting and communicating cargo and rate information accurately and efficiently.

Key Responsibilities

  • Manages customer transactions including Documentation, Rating, Pre-Auditing, Transport Bookings and Problem Resolution.
  • Develop an understanding of customer business models and processes.
  • Evaluate customer needs and recommend solutions.
  • Educate customers regarding documentation and regulatory requirements.
  • Build and develop customer and vendor relationships through open and interactive communication.
  • Receive military cargo manifest, match up to individual TCN numbers, upload LOB reports, request changes in military BRT system as necessary.
  • Process paperwork and scan documents.
  • Perform accurate and efficient data entry.
  • Run and audit various reports for customers and internal use.
  • Frequently attend on-site educational classes to improve knowledge and performance levels.
  • Build positive, collaborative relationships with internal employees and departments.
  • Provide support throughout the department.
  • Effectively perform additional tasks and projects as assigned.

Key Qualifications: 

  • Associates degree preferred.

  • Good organizational skills.
  • Must be a team player and provide support to the department.
  • Ability to multi-task and prioritize.
  • Ability to work with little or no supervision.
  • Ability to work flexible hours, including evenings and weekends, as required.
  • Computer literate, with the ability to utilize standard software applications and be proficient in Windows and MS Office Suite (Outlook, Word, PowerPoint and Excel) and E-service center & E-commerce web-based applications.
