JOB PURPOSE/SUMMARY:

The Human Resources Generalist will perform administrative tasks in every area of HR with a focus on timekeeping and leave administration.

Responsibilities:

ESSENTIAL FUNCTIONS:

Time Keeping

  • Provide timekeeping for multi-state Marine Employees. Coordinate, input and review data on timekeeping systems, and on tracking mechanisms for marine employees
  • Reviews validity of all wages relative to union labor agreements, including daily wages, hourly overtime, sick leave, short-term disability and vacation pay
  • Prepare payroll and timekeeping data for the payroll department including paid and unpaid time off, and pay adjustments. Assist with payroll changes and notifications
  • Provide HR Reporting weekly, biweekly, and monthly as requested or required for OT, PTO, labor costs
  • Respond to unemployment insurance claims

HR and Leave Administration

  • Administer, track, and explain leave benefit options and eligibility information to employees FMLA, Short-term leave and worker's compensation).
  • Maintain Human Resources database and computer software documents/spread sheets, as well as communicating changes to other departments as appropriate.
  • Create and process paper / electronic forms & files for employee hires, changes, leaves, and terminations
  • Maintain employee files including responsibility for keeping filing up to date
  • Issue termination letters, documentation, and communication to staff and supervisors.
  • Provide assistance and follow-up on company policies, procedures, and documentation to management and others as requested
  • Assist operations management with recruiting functions (post jobs, review application/resume, evaluate skills, prescreen, interview, make recommendation, background and testing).
  • Assist with New Hire Orientations to include online onboarding input, welcome letter and packet to new employee, new employee paperwork, benefit enrollment (medical, dental, vision and flex insurances, 401(k), and union membership, if applicable.
  • Maintain general knowledge of employment laws and practices.

Other

  • Be a leader for "SpeakUp", including encouraging peers to exhibit a safe and ethical culture.
  • Conducts vessel visitations on a regular basis to interact with crews for the purpose of enhancing office to vessel communication.
  • Understands and complies with Company policies and procedures, including Non-Discrimination, Harassment, and Saltchuk Code of Ethical Business Conduct.
  • Performs other duties as assigned.
  • Accomplishes all tasks as appropriately assigned or requested.
  • Adheres to all company policies.

Requirements:

KNOWLEDGE AND SKILLS:

  • Strong written and communication skills with a high level of attention to detail.
  • Basic office procedures.
  • Ability to use discretion and keep sensitive material confidential.
  • Advanced skills in Microsoft Office (Word, PowerPoint, and Excel).
  • Working knowledge of employment laws and regulations (ADA, EEO, FMLA, FLSA) and the ability to appropriately indentify rish issues.
  • Strong proficiency in Applicant Tracking Systems
  • Ability to manage multiple priorities with frequent interruptions, set priorities and organize work responsibilities to ensure completion of assigned tasks within present timeframes.
  • Demonstrates accuracy, thoroughness, and the ability to identify ways to improve and promote quality.
  • Ability to effectively communicate and work cooperatively with employees, applicants, and outside entities of diverse cultures, education, social and economic backgrounds.
  • Strong critical thinking skills.

MINIMUM REQUIREMENTS:

This position requires a Bachelor's degree in Human Resources Management, Business Administration, or related field and HR certification (PHR/SHRM-CP). Five (5) years of related HR/Timekeeping experience. Experience working in a union environment. Maritime education/knowledge is preferred.
